POWERPOINT HELP FROM RUSSELL SMITH
Some of you may be preparing end-of-year photo slideshows for a presentation or a parting gift to parents. Here’s a few tips that might help:

PowerPoint requirements
We'll be showing on the big screen.
Make sure you've got custom animation, slide transitions, video, animations, 5 words per slide, auto run, rehearse timings, pretty fonts, word art, etc. etc.

You will save it when complete to a folder on the server in extra folder and you'll save in a folder there called POWERPOINT

If you have......then go to the link at the top called:

STEWART HAS JUST GIVEN US A GREAT TIP ON THE FOLLOWING:

How to make a sound or music last through the whole show or certain parts of the show.

Put the sound file on the 1st slide..
Choose play with previous and you have to do this every slide that you want it to keep playing on.

Jim also added how to hide the sound icon on your slide.

Go to the bottom of the Veterans Powerpoint link and you'll find details on the 2 helps just mentioned.

If you aren't able to do it, go back and keep redoing the tutorials until you really understand.

SAVING AN ENTIRE POWERPOINT PRESENTATION
1. Some Office features have been there for so long that it's easy to forget they are there. Most of the coverage is of new features and long standing stuff gets overlooked. And so it was yesterday when I was asked about burning a Powerpoint presentation to a CD - the problem was how to make sure all the links video and audio files were included on the CD with the PPT file.

To me the answer was simple and has been in Powerpoint for a long time. Under the File menu is an option Package for CD ... which will do what that gentleman wanted and some more.

Really the menu item label is misleading because the option can do much more than save to a CD. The default settings will create a CD with the currently open presentation and all linked files plus a Powerpoint viewer so you can play the presentation on any computer with Windows ME or later.

The feature goes beyond that and is really an Export function for a Powerpoint presentation and all its linked files. If you click on 'Copy to Folder' you can select anywhere on your hard drive, network or external drive to save the presentation to.

Even though you're not saving to a CD it includes all the same files as you'd get on a 'Copy to CD' including, importantly the Autostart files. This means you can save a package to the root folder of a USB key - when you plug it into another computer it should start playing automatically.

One little nuisance is that 'Copy to Folder' won't let you save over an existing presentation package in the same location, which often happens as you revise a presentation and want to update the package version. Instead of a prompt to overwrite (as is usual in Office) you get a blunt notice to save in another location. The alternative is to delete the package manually then save the package to the now empty folder.

The Autoplay settings are controlled under the Options button. You can choose to install the Powerpoint viewer or not and what to do on Autostart.

There are also options to include linked files (defaults on and recommended to leave it that way) and embed fonts (useful and probably best to turn this on just in case it's needed).

Insert the CD into the CD-ROM drive.
On the Slides tab in normal view, click the slide you want the music to start playing on.
On the Insert menu, point to Movies and Sounds, and then click Play CD Audio Track.
Under Clip selection, in the Start at track and End at track boxes, set the starting and ending track number. (To play only one track or part of a track, put the same number in both boxes.)
In the time: boxes, set the starting time for the starting track and ending time for the ending track. By default, the start time is zero and the end time is the total number of minutes for the ending track.
If you want the music to repeat, select the Loop until stopped check box.
Click OK, and when prompted, do one of the following:
To play the music automatically when you go to the slide, click Automatically.
To play the music when you click the CD icon , click When Clicked.
Note If you choose to start the music with a mouse click, the CD icon will appear on your slide even if you've selected the Hide sound icon during slide show check box.

To adjust settings for when to stop the music: on the slide, click the CD icon , right-click, and on the shortcut menu, click Custom Animation.
In the Custom Animation task pane (task pane: A window within an Office application that provides commonly used commands. Its location and small size allow you to use these commands while still working on your files.), right-click the arrow on the selected item in the Custom Animation list, and then click Effect Options.
On the Effect tab, under Stop playing, do one of the following:
To stop the music on mouse-click of the slide, select On click (the default).
To stop the music after this slide, click After current slide.
To keep the music playing for several slides, click After, and then set the total number of slides the music should play on.
Notes

You need to insert the CD into the CD-ROM drive to play it during the presentation.
To change the settings for track number and start and end time, right-click the CD icon , and on the shortcut menu, click Edit Sound Object to display the CD Audio Options dialog box.
